Executive Assistant Statement of Work


Organizational Overview

The Centre for Holocaust Education and Scholarship (CHES) is a registered Canadian charity whose mission is to develop educational programs and activities to promote knowledge and understanding of the history and legacy of the Holocaust. CHES engages with the public, students, and teachers as well as community and government institutions. CHES offers year-round programming with the objectives of combatting prejudice, racism, and antisemitism while promoting respect for diversity, social justice, and human rights.

Position Summary

Reporting to the Chair of CHES, the Executive Assistant provides support to the Chair, and the Board in conducting administrative services critical to the achievement of CHES objectives and priorities. As such, the Executive Assistant assists the Chair in supervising the day-to-day operations and plays a key role in all CHES activities including, among others, program and project development and delivery, communications, public and media relations and fundraising. The Executive Assistant also provides support to and collaborates closely with a committed team of Board volunteers.

Specific Duties and Responsibilities

  1. Administrative Support: 
  • Manages administrative details and assists in coordination of the work of the Chair, Treasurer and Secretary.
  • Supports the work of the CHES bookkeeper, accountant, lawyers, IT specialists, and other contract staff or volunteers, as needed.
  • Arranges and attends all CHES committees’ meetings, takes notes and prepares minutes of each committee meeting on all issues relating to CHES.
  • Manages the preparation of annual reviews of activities and the CHES business calendar.

     

  1. Communications: 
  • Supports the Chair and the Board in communications, public and media relations as well as with social media engagement and website development activities.
  • Assists in organizing communications activities including development, production and distribution of newsletters, bulletins, and blogs as well as public and media relations documentation.

     

  1. Outreach and Fundraising: 
  • Assists in the recruitment and orientation of new members, Officers, Committee members and additional volunteers, as required.
  • Facilitates fundraising activities and community events
  • Promotes and manages the Giving Tuesday campaign.
  • Maintains liaison with partner organizations and keeps an updated mailing list of partners and donors.
  • Supports and tracks Speakers’ Bureau activities and provides updated numbers to the web designer.
  • Supports the development of grant applications and reports.

     

  1. Program and Project Delivery: 
  • Assists in the management and administration of CHES programs and project development and delivery throughout the year
  • Supports educational activities and targeted events specifically focusing on Holocaust Education Month (HEM) in November.

     

  1. Additional Duties: 
  • Represents CHES in various fora and community events,  as required.
  • Performs additional related services as requested by the Chair or the Board.

     

Position Requirements

  • Location of services is Ottawa.
  • Availability for 30 hours of work per week as determined by the Chair or the Board. 
  • Flexibility in scheduling is important since hours of work may occasionally vary, and services may be required for events on evenings.


Remuneration

  • In the range of $40-50K p.a. based on experience. One year renewable contract.
